Post Attendance
Post Attendance is the ability to record attendance for an activity after the activity has occurred. This is a great option if your church does not have Fellowship One Check-in or the activity is offsite and attendance will be recorded later.
To post attendance:
- Take attendance manually during the activity. You could run a report (M1400E - Activity Pre-Assignment is a good example) prior to the occurrence of the activity so that you have a roster to use to quickly record attendance during the activity.
- In Fellowship One, click Ministry > Attendance > Post Attendance. The Attendance History Summary form appears. Ensure that the ministry you want to work with is displayed in the ministry box at the top of the form.
- Select the following filters:
- Activity—this is the activity to which you want to post attendance.
- Group—this field is optional, but provides you with the ability to filter down to a specific sub set of room/locations (RLCs) in larger activity structures.
- Schedule—select the schedule to which you want to post attendance.
- Date range—if the attendance date is more than four months in the past, type the date in this field and click Find time. The Time drop-down list will repopulate with dates in range you entered.
- Time—select the specific date/time to post attendance against.
- Click the Search button. A list of rooms/locations (RLCs) appears in the Attendance History Summary.
- Click Post Attendance beside the room/location you want to work with. The Find Attendees form appears. Any attendance previously posted or recorded through Check-in appears in the Attendees list at the bottom of the page.
- Search options:
- Search by name—this is the default option and it allows you to search for any person in the database. Simply type at least a partial name in the search field (typically, you will type the first or last name) and click Search.
- Participant assignments—select this option to search for people who have an assignment to the selected activity and RLC. This is a huge time saver when posting attendance. Click Search to see all participants. To enhance this feature, make sure you have selected First Attendance or Most Recent Attendance from the Auto assignments drop-down list when you create an activity. See Create an Activity for additional information.
- Staff assignments—select this option to search for people who have a staffing/volunteer assignment to this activity and RLC. Click Search to see all volunteers/staff.
- The list of search results is already selected by default. You may do one of the following:
- Press the space bar—this action selects all individuals in the search results.
- Up/down arrow keys and space bar—quickly navigate through the list of search results by using the up or down arrow keys on your keyboard. Press the space bar for each person who was in attendance.
- Click Post Attendance. Several of the last individuals appear in the Attendees grid at the bottom of the page. Click View all or View all attendees to see the complete list. Participants appear with a blue dot beside the name and staff/volunteers appear with a red dot beside the name.
Posting Attendance for Volunteers
Volunteer attendance is different than participant attendance. The procedure for posting volunteer attendance is the same as the procedure for posting attendance for participants with the exception that you will use the Staff assignments search option. Once you have posted attendance for all staff/volunteers, these individuals will appear in the Attendees list with a red dot beside the individual's name.
If the job the person fulfilled is incorrect, you may need to change attendance details. See below for information.
Changing Attendance Details
If you notice that individuals in the Attendees list have the wrong type of attendance (i.e., participant (blue dot) attendance has been recorded instead of staff/volunteer attendance (red dot)), you can quickly change the attendance details.
To change attendance details:
- Click View all attendees at the bottom of the page to display the attendees list.
- Select the check box beside the individuals you wish to change.
- Select Change attendance details from the actions drop-down list at the bottom of the attendees list. The Change attendance details fields appear.
- Select the appropriate option for Attendance type — Participant or Staff.
Note: Staff also encompasses volunteers.
- If you select Staff, you may change the Type, Job, and/or Time Served fields.
- Click Save attendance details.
Removing Attendance
If you ever need to remove attendance for an individual or individuals, you can do so very quickly by displaying the Attendees list.
To remove attendance:
- In Fellowship One, click Ministry > Attendance > Post Attendance. The Attendance History Summary form appears. Ensure that the ministry you want to work with is displayed in the ministry box at the top of the form.
- Select the following filters:

Click the red remove button beside an individual (far right column) to remove attendance.
